Booking takes three steps. You agree your trek and dates with Mohan over WhatsApp or email, pay a 20% deposit by bank transfer, Wise or card to hold your place, and pay the balance in cash or by card when you arrive in Nepal. Written confirmation and the full day-by-day itinerary follow within 24 hours of the deposit clearing.
Two payments, months apart. Nothing is taken automatically and there is no third instalment.

We encourage you to reschedule your trip instead of cancelling whenever possible. Please send any cancellation request in writing by email at least 14 days before departure so we can review and process it properly.
When you reschedule your trip in accordance with our rescheduling policy, your non-refundable 20% deposit remains available as lifetime travel credit. Before the remaining credit is confirmed, any applicable permit costs already paid or committed for your original trekking region will be deducted, because permit requirements and fees vary by trekking region. The remaining credit can then be applied toward any future trip with North Nepal Travel & Trek.

Written notice: Cancellation requests must be sent by email at least 14 days before the planned departure date. We can only process cancellations with proper written notice and approval.
Travel insurance claims: If you need to make a claim with your travel insurance provider because of your cancellation, we can assist by providing supporting documents such as payment receipts and other relevant booking records.
Sorting this out before you travel prevents almost every dispute we have ever had.
Weather closes the Everest region regularly, in every season. We rebook you on the next available flight at no charge. Extra hotel nights in Kathmandu are at your cost — which is exactly why we tell you to build two spare days into your schedule.
Your guide descends with you. That is never negotiable and never charged. Evacuation costs are claimed through your travel insurance, which is why we check your policy covers helicopter rescue before you leave.
We reroute and tell you the same day. If the alternative costs less, we refund the difference. If it costs more, we absorb reasonable differences rather than sending you a bill mid-trek.
Before permits and domestic flights are issued, a date change is usually free. Afterwards, the cost is whatever the permits and flights cannot be transferred for — we show you the actual figures rather than charging an admin fee.
We supply every document you need — incident report, guide statement, receipts, altitude record. We cannot influence the outcome, which is why we are strict about checking your policy covers your maximum altitude before you buy it.
Nepal has these. We reorganise transport and absorb the difference. Travellers have written about us doing exactly this — it is ordinary ground operations, not a favour.

The account name on any transfer request will match the company name above. If it does not — if it is a personal name, or a different company — stop and message us on a number you already have before sending anything. We will never ask you to pay a personal account, and we will never chase you for payment by an unexpected email.
All quotes are in US dollars. You can pay the balance in USD, AUD, CAD or EUR cash, in Nepali rupees at the day’s rate, or by card.
The 20% deposit is fully non-refundable. When you reschedule your trip in accordance with our rescheduling policy, the deposit remains available as lifetime travel credit toward a future trip with North Nepal Travel & Trek.
We deduct 20% of the total trip price and refund the remaining 80%. If you have only paid the 20% deposit, that deposit is fully non-refundable.
A 100% cancellation charge applies, so there is no refund. We can provide supporting payment documents if you need to make a claim with your travel insurance provider.
The standard structure is 20% deposit and 80% on arrival, which is already a form of instalment. For large group bookings we can agree a different schedule in writing — ask when you enquire.
One person can pay for the whole group, or each traveller can pay their own share. Tell us which you prefer and we will invoice accordingly.
Before departure, and we check it. Your policy must cover trekking to the maximum altitude on your itinerary and helicopter evacuation. No, and they never appear in our quotes. A common range is USD 8–15 per day for your guide and USD 5–10 per day for your porter, given at the end of the trek.
Yes. We are VAT-registered and can issue a formal numbered invoice in whatever name you need.
